Vriendi Terms of Service

This is an English translation of the Polish terms of service for convenience only. In case of any discrepancy, the Polish version is legally binding.

§1. General provisions

  1. These terms set out the rules for using the Vriendi service, available at vriendi.com, and for taking part in events organized through it.
  2. The organizer of the service and the entity responsible for its operation is Chillsoft Tomasz Mańka, a Polish sole proprietorship, NIP (tax ID): 8992843377, registered at: Wspólna 53, 42-713 Kochcice, Poland, hereinafter the "Organizer".
  3. The Organizer can be contacted at: hello@vriendi.com.
  4. Using the service constitutes acceptance of these terms.

§2. Scope of the service

  1. Vriendi is an intermediary platform whose purpose is to connect people interested in jointly taking part in social events (hereinafter "Participants") and to organize those events on their behalf.
  2. The Organizer is not a provider of services delivered by third parties (including restaurants and bars, bowling alleys, board game cafés, escape rooms), hereinafter "Partners". The Organizer is not responsible for the quality, availability or safety of services provided by Partners.
  3. The Organizer's responsibility is limited exclusively to:
    • matching groups of participants and coordinating event logistics,
    • communicating with participants before and after the event,
    • providing information about the event's location and time.

§3. Participation conditions

  1. Only a natural person who has turned 18 may be a Participant.
  2. Registration for an event is done by filling out the form available on the service and making payment for a ticket.
  3. The agreement between the Participant and the Organizer is concluded once payment is confirmed by the payment system.
  4. The number of spots for each event is limited. Participation is decided by order of payment.
  5. Tickets are personal and generally non-transferable. In exceptional circumstances (e.g. illness, sudden unforeseen events), a Participant may contact the Organizer at hello@vriendi.com to request an individual review of changing the participant's details. The Organizer is not obliged to grant such a request.

§4. Payments and refund policy

  1. Ticket prices for individual events are shown on the Vriendi service and expressed in Polish złoty (PLN) as gross prices.
  2. Payments are handled via the payment processor Stripe. The Organizer does not store Participants' card details.
  3. No refunds: Under Article 38(12) of the Polish Act of 30 May 2014 on Consumer Rights (Journal of Laws 2014, item 827, as amended), the right of withdrawal does not apply to Participants with respect to agreements for services related to leisure or entertainment events, where the agreement specifies a particular day or period of performance. A purchased ticket is non-refundable and non-exchangeable.
  4. Exception: If an event is cancelled for reasons attributable to the Organizer, the Participant receives a full refund of the amount paid within 14 days of the cancellation date, to the bank account or card used for payment.

§5. Changes and cancellation of an event

  1. The Organizer reserves the right to change the location or date of an event due to circumstances beyond the Organizer's control (including a Partner venue issue, force majeure, or an insufficient number of participants).
  2. The Organizer promptly informs Participants of any such change by email, sent to the address provided at registration.
  3. If the location changes to another venue of comparable standard in the same city, the Participant is not entitled to a ticket refund.
  4. If an event is cancelled, the Participant is entitled to a full refund in accordance with §4(4).

§6. Participant conduct

  1. Participants are required to follow generally accepted standards of social conduct, to respect other Participants, and to follow the house rules of Partner venues.
  2. The Organizer and Partner venue staff have the right to exclude a Participant from an ongoing or future event in the case of:
    • aggressive, vulgar behavior or behavior that violates others' dignity,
    • attending an event under the influence of alcohol or intoxicating substances,
    • violation of these terms.
  3. Exclusion of a Participant for the reasons listed in point 2 does not entitle them to a ticket refund.
  4. The Organizer is not liable for Participants' conduct during events or for damage caused by Participants to other people or property.

§7. Personal data protection (GDPR)

  1. The controller of Participants' personal data is Chillsoft Tomasz Mańka, NIP: 8992843377, Wspólna 53, 42-713 Kochcice, Poland, e-mail: hello@vriendi.com.
  2. Personal data (name, email address, city) is processed on the basis of:
    • Art. 6(1)(b) GDPR - performance of a contract (registration and handling of event participation),
    • Art. 6(1)(f) GDPR - the Controller's legitimate interest (communication before and after the event).
  3. Data is stored for as long as necessary to provide the service, and afterwards for the period required by law (including tax regulations - 5 years).
  4. Participants have the right to: access their data, rectify it, erase it, restrict its processing, transfer it, and object to its processing. Requests should be sent to hello@vriendi.com.
  5. Participants have the right to lodge a complaint with the President of the Polish Personal Data Protection Office (ul. Stawki 2, 00-193 Warsaw, Poland).
  6. Personal data is not transferred outside the European Economic Area or shared with third parties, except for the payment processor Stripe and form-handling tools (Tally.so) - solely to the extent necessary to provide the service.

§8. Complaints

  1. Complaints about the operation of the service or the course of events should be submitted electronically to hello@vriendi.com.
  2. A complaint should include: full name, the email address used at registration, the date and name of the event, and a description of the issue.
  3. The Organizer handles complaints within 14 days of receipt and informs the Participant of the outcome by email.

§9. Changes to these terms

  1. The Organizer reserves the right to amend these terms.
  2. Registered Participants will be informed of any change by email at least 14 days in advance.
  3. Changes to these terms do not apply to events for which a Participant has already registered and paid before the change takes effect.

§10. Final provisions

  1. Matters not covered by these terms are governed by Polish law, in particular the Civil Code and the Act on Consumer Rights.
  2. Any disputes between the Organizer and a Participant will be settled amicably where possible. Failing agreement, disputes will be resolved by the court with jurisdiction over the Organizer's registered seat.
  3. These terms are effective as of 1 June 2026.
